Description of Services on the Website

Web pages may be uploaded months in advance and describe services available at that time. Factors beyond our control such as weather, traffic, festivals, strikes, airline changes, overbooking, or closure of sightseeing locations may require modification of itineraries or services.

We reserve the absolute right to alter or modify tour packages, itineraries, travel schedules and sightseeing arrangements. Where possible, customers will be informed in advance; otherwise our tour managers or representatives will inform clients during the tour.

If alternate arrangements are materially superior, additional charges may apply.

Service Entitlement

Services available to the client are strictly limited to those described in the Website, price grid, invoice or service voucher. Neither staff members nor clients are authorized to promise services beyond those agreed at the time of booking.

Itinerary Changes

For client comfort and operational reasons, itineraries may be amended. The Company will attempt to inform clients prior to the tour or during the tour whenever possible.

Definitions

Client: The person(s) in whose name the booking is made or who avails services of the Company.

  • Infant: Person below two years of age.
  • Child: Person aged between two and twelve years.
  • Independent Contractor: Suppliers such as hotels, airlines, transport operators, cruise companies and entertainment providers.
  • Third Party Product: Products operated by entities other than the Company including cruises, rail passes, tours and hotels.
  • Gender: Masculine includes feminine.
  • Number: Singular includes plural.

Eligibility

Persons fulfilling the criteria set by applicable foreign exchange laws of India and Reserve Bank of India (RBI) regulations are eligible to book tours with VOYAGE COMPASS SERVICES LLP.

Travelers must possess a passport valid for at least six months beyond the date of departure and must obtain all required visas for the tour. Travel may be undertaken on group or individual basis as applicable.

Booking

Clients are provided with complete details of the tour arrangements, itinerary, price grid and event-related services along with these Terms & Conditions. Clients must read all details carefully before signing the Booking Form.

A non-refundable, interest-free booking deposit must be paid at the time of booking as per company policy. The Booking Form, Terms & Conditions and Payment Receipt together constitute a binding contract between the parties.

If one or more clients sign the Booking Form on behalf of others, it shall be deemed that authorization has been granted by all clients listed in the booking.

The Company reserves the right to decline or cancel any booking without assigning any reason.

No employee or representative has authority to alter or waive any terms stated herein. Any assurance contrary to these Terms & Conditions shall not bind the Company.

Company Rights

The Company reserves the right at any time to:

  • Terminate the contract prior to commencement of the tour without assigning any reason.
  • Amend, alter, vary or withdraw any advertised tour, excursion or facility.
  • Substitute services with similar class or category where necessary.

In such cases, the Company shall not be liable for any refund or compensation whatsoever.

Booking and Deposit

Clients must provide valid original identity proof such as Aadhaar Card or Passport at the time of booking.

A non-refundable interest-free deposit must be submitted along with the Booking Form to confirm reservations.

Reservations & Payments

Reservation

An initial deposit of 50% of the total tour cost is required to secure your reservation.

Final Payment

The remaining balance must be paid either within two days of advance payment confirmation or at least 30 days prior to tour commencement, unless otherwise agreed.

Making Final Payments

Final payment deadlines vary depending on the program. Reservations may be waitlisted or cancelled if payment is not received by the due date, and cancellation charges may apply.

Prices may be quoted in INR, USD, GBP, AED or EURO and are calculated per person based on double occupancy (twin sharing) unless stated otherwise.

Insurance

Clients are required to obtain Overseas Medical and Travel Insurance to cover risks related to life, health and property during the tour.

Insurance premiums are not included in the tour cost unless explicitly stated. Where insurance is arranged through the Company, clients must verify policy accuracy and report discrepancies directly to the insurer.

Clients must disclose any medical condition that may affect their ability to participate in the tour. The Company reserves the right to request a medical fitness certificate prior to departure.

Failure to disclose medical conditions releases the Company from any liability for assistance or refunds.

Liability Notice

VOYAGE COMPASS SERVICES LLP shall not be held responsible for any mishap, accident, injury, death, natural disaster, riots, curfew, landslides, terrorism or any unforeseen circumstances occurring during the course of the tour.

Travel on Your Own

If a Client chooses to travel using independently booked air tickets, correct travel details must be provided to the Company in advance. The Company shall not be responsible for any alterations in tour plans arising due to airline schedule changes or delays.

Airline Confirmation

Even if tickets are issued with confirmed status, airlines may offload passengers due to overbooking and accommodate them on subsequent flights. The Company shall not be responsible for such actions taken by airlines.

Clients returning after completion of an escorted tour or travelling individually must reconfirm their air tickets at least 96 hours prior to departure. Responsibility for reconfirmation rests solely with the Client.

Hotels

Hotels are selected to provide comfort and value for money considering sightseeing schedules. Depending on itinerary requirements, hotels may be located within or outside city centres.

  • Double rooms are recommended for a maximum of three persons.
  • Triple rooms typically include a rollaway bed, mattress or cot.
  • Children booked on “without bed” basis are not entitled to a separate bed.
  • No refund will be provided if a booked bed facility is not utilized.
  • Extra beds requested during the tour are subject to availability and payable directly to the hotel.
  • Room preferences will be requested but cannot be guaranteed as allocation is controlled by hotel management.

Baggage

Airline baggage allowance is subject to airline policies. Current general guidelines are:

  • Domestic Economy Class: 15 kg check-in baggage.
  • International Economy Class: 23 kg (2 pieces) + 7 kg cabin baggage.
  • USA & Canada routes may allow two checked bags plus cabin baggage.

All baggage and personal belongings remain the responsibility of the Client at all times. Clients are advised not to carry valuables. Where available, hotel safe deposit lockers should be used.

Coach / Transport Booking

Depending on the tour and destination, the Company provides non-air-conditioned, air-conditioned or air-cooled luxury coaches. Clients must follow instructions of local representatives.

  • Smoking, alcohol consumption and snacks are prohibited on coaches.
  • Clients must not leave belongings in vehicles; the Company is not liable for loss.
Transport Guidelines
  • Waiting Charges: Driver waits up to 10 minutes. Additional waiting is Rs.100 per 30 minutes if mutually agreed.
  • Driver Details: Shared up to 15 minutes before departure.
  • Delays: Pickup may be delayed up to 60 minutes due to traffic or unavoidable reasons.
  • Pickup Time: Clients must allow sufficient time for immigration, baggage collection and customs.
Luggage Policy (Indicative)
  • Hatchback: 2 medium suitcases + 1 small bag
  • Sedan: 3 medium suitcases + 2 small bags
  • SUV: 4 medium suitcases + 3 small bags
  • Tempo Traveller: Bulk luggage allowed if declared at booking

Oversized luggage must be declared during booking. Loading/unloading charges may apply. Hazardous or illegal goods are strictly prohibited.

VOYAGE COMPASS SERVICES LLP shall not be responsible for delays or cancellations caused by natural calamities, strikes, traffic conditions or road blockages. The Company reserves the right to modify or cancel vehicle bookings when necessary.

Punctuality

Drivers operate under regulated driving hour limits. Clients must adhere strictly to schedules and timings to ensure smooth delivery of services. No refund shall be provided for services missed due to client delay or unpunctuality.

Law & Jurisdiction

These Terms & Conditions shall be governed by the laws of India. As part of the cause of action arises in Jaipur, Rajasthan and the Company’s registered office is located in Jaipur, exclusive jurisdiction shall vest with the courts, forums or tribunals in Jaipur only.

Responsibilities & Liability

The responsibility of VOYAGE COMPASS SERVICES LLP, its affiliated companies, officers, directors, employees, sponsoring organizations and agents is strictly limited.

VOYAGE COMPASS SERVICES LLP acts solely as a tour operator organizing, promoting and selling travel programs consisting of services such as transportation, sightseeing excursions and hotel accommodations purchased from independent suppliers (“Suppliers”).

These Suppliers are independent contractors and not employees or agents of the Company. Accordingly, the Company shall not be liable for any direct, indirect, incidental or consequential loss, injury, delay, accident or irregularity caused by acts or omissions of any Supplier or third party.

Purchases made during tours from shops or merchants are solely the responsibility of the Client. Any claims regarding injury, loss or damage must be directed only to the respective Supplier.

The Company shall not be responsible for losses arising from delays, schedule changes, overbooking, downgraded accommodations, mechanical failures, transportation delays or failure of transport services.

The Company shall also not be liable for events beyond its control including but not limited to natural disasters, weather conditions, strikes, terrorism, war, quarantine, embargo, criminal activities or lack of medical facilities.

The Company assumes no financial responsibility for cancellations or delays caused by invalid passports, visas or incorrect travel documentation. The itinerary may be modified without prior notice. If a tour is cancelled by the Company, liability shall be limited to refund of payments received.

Force Majeure / Acts of God

During any tour period, unforeseen circumstances such as terrorism, riots, war, natural disasters, floods, landslides, political crisis, curfew or similar events (“Force Majeure”) may occur.

In such situations, no cancellation or refund shall be provided where travel is prevented due to circumstances beyond the control of the Company, hotel or service providers. All additional expenses including accommodation, transport or travel costs shall be borne by the Client.

Company Policies

  • The Company may assist in booking flight tickets upon request; however, airline schedule changes and cancellations remain solely under airline control. Clients must contact airlines directly for rescheduling or cancellations.
  • Once booking is confirmed with advance or full payment, clients are deemed to have accepted all Terms & Conditions. Denial may result in 100% cancellation charges.
  • The person making the booking shall be the authorized representative for the entire group regarding communication, amendments or payment updates.
  • If flights are cancelled due to weather or technical issues, accommodation may be treated as a “No Show” without refund.
  • Aviation authorities may reschedule or cancel helicopter or flight tickets based on operational conditions. Such decisions are final.
  • Government cancellation or postponement of Dharmik Yatra or tours, or epidemic-related restrictions, shall not make the Company liable.

Refund & Rescheduling Conditions

  • If Yatra/tour is cancelled more than 45 days before departure due to Force Majeure, 50% of package cost will be refunded after deduction of cancellation charges.
  • If cancelled within 45 days, booking may be rescheduled for the following year after deduction of 10% service charges.
  • Ticket refunds from airlines/helicopter/cruise or other suppliers will exclude transaction charges and taxes.
  • Package cancellations will follow Company cancellation policy even if transport tickets are cancelled by operators.
  • No amendments are allowed once bookings for hotels, transport, helicopters or packages are confirmed.

Dispute Resolution & Complaints

  • All issues must be reported immediately to the Tour Executive during the tour.
  • Complaints raised after completion of travel may not be entertained.
  • The Company retains booking records for a limited period of one month only.
  • Disputes should be resolved during the journey wherever possible.

Acceptance of Terms

These Terms & Conditions govern the use of services provided by VOYAGE COMPASS SERVICES LLP. By accessing or using our services, you acknowledge that you have read, understood and agreed to be bound by all terms stated herein.
